• Name and email address — when you take the Polaris AI Assessment™ or contact us.
• Company name, industry, and company size — collected as part of the assessment demographics.
• Phone number — if provided voluntarily via our contact form.
• Payment information — processed securely by Stripe. We never see or store your credit card number.
• Assessment responses — your answers to the Polaris AI Assessment™ questions.

Information collected automatically:

• Usage data — pages visited, time on site, and browser type collected via standard web analytics.
• Session data — assessment progress saved locally in your browser using localStorage.
• IP address — collected and stored temporarily as part of authenticated portal sessions for security purposes (e.g., detecting unauthorized access). This data is not used for tracking or marketing.

We use the information we collect to:

• Deliver your Polaris AI Assessment™ results and report.
• Send you your results email and any reports you have purchased.
• Process payments securely through Stripe.
• Contact you about your assessment or inquiry.
• Send AI transformation insights if you explicitly opted in (you can unsubscribe at any time).
• Improve our assessment methodology and benchmark data.
• Respond to your questions and support requests.

Your information is securely stored across the following infrastructure:

• Cloudflare D1 — Our primary secure database. All personal information including your name, email, company details, assessment responses, and purchase records are stored exclusively in Cloudflare D1, hosted on Cloudflare’s secure infrastructure.
• Airtable — Used as a lightweight CRM for engagement tracking only. Airtable does not store your assessment responses, personal details, or payment information; it holds only reference IDs linked back to our primary D1 database.
• Stripe — Used for payment processing (Stripe’s privacy policy applies to payment data).
• Google Workspace — Used for secure email communications.

Data Security & SOC 2 Framework

We implement robust administrative, technical, and physical safeguards designed to protect the confidentiality, integrity, and availability of your data. Our information security practices are structured in alignment with SOC 2 compliance frameworks. This includes data encryption at rest and in transit, strict logical access controls restricted via the principle of least privilege, and continuous monitoring of our infrastructure.

Polaris Crescent uses artificial intelligence tools to assist in generating your assessment report and recommendations. However, we maintain strict guardrails to protect your proprietary information:

• Your personal information, company data, and assessment responses are never shared with any AI model provider for training purposes.
• Your data is processed to generate your report and then stored securely — it is not fed into any model training pipeline.
• We do not sell, license, or share your data with any third party for AI training or any other purpose.
• Any AI models used in our service operate under strict data processing agreements that prohibit training on customer data.
• API-Level Data Isolation: Any data passed to AI sub-processors is handled strictly via secure, enterprise API endpoints operating under strict Data Processing Addendums (DPAs) that legally prohibit data retention, logging, or model training by the provider.
• Ephemeral Processing: Contextual data sent to AI utilities for report generation is processed ephemerally and is not stored or cached by the AI model provider after the output is generated.

This commitment applies universally to all data you share with Polaris Crescent, including free assessment responses and paid report data.

If you participate in the Polaris AI Readiness Benchmark, your responses contribute to an anonymized, aggregate dataset. We will never publish or share your individual responses, personal details, or company name. Only aggregate trends and statistics are shared in public benchmark reports.

We do not sell, rent, or trade your personal information. We only share data with third-party service providers (sub-processors) who are strictly necessary to deliver our services (e.g., cloud hosting, payment processing, CRM utilities). All such providers are contractually bound by confidentiality and data protection agreements that match or exceed the standards outlined in this policy.

If you take the Polaris AI Assessment™, we will send you:

• Your assessment results email (this is your core deliverable).
• A follow-up email if you did not complete your assessment (provided you entered your email address).

If you opted in during the assessment, we may also send:

• AI transformation insights and thought leadership content.
• Updates about Polaris Crescent services.

You can unsubscribe from marketing emails at any time by clicking “unsubscribe” in the footer of any email or by contacting lori@polariscrescent.com.

Payments are processed by Stripe, Inc. When you make a purchase, you are subject to Stripe’s Privacy Policy (stripe.com/privacy). We receive confirmation of payment and your email address. We never store, see, or have access to your full card number, CVV, or bank details.

You have the right to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Delete your information (subject to legal, regulatory, or essential business requirements).
• Opt out of marketing communications at any time.
• Request a copy of your raw assessment data.

Our website uses minimal cookies for session management and basic analytics. We do not use advertising cookies, retargeting pixels, or third-party tracking scripts. You can disable cookies in your browser settings, though some site features (like saving assessment progress) may not function properly.

Our services are intended strictly for business professionals and are not directed at children under 13. We do not knowingly collect information from children.

We may update this Privacy Policy from time to time. We will notify you of significant changes by updating the “Last updated” date at the top of this page. Continued use of our services after changes constitutes acceptance of the updated policy.
